Is this the right printer for you?

Who the HP PageWide XL 5200 Printer is actually for

Most printer pages just tell you what a printer does. Here's the honest version: when this machine is the right choice, when it's fine, and when you should look at something else. We sell a lot of these for a reason, but the reason is not "every office."

Best fit

Pick this if...

  • You're an AEC firm or reprographics shop doing 800-2,000 D-size pages a month.
  • You don't scan wide-format (you have a separate scanner or don't need to digitize markups).
  • You'll have HP-certified installation and ongoing service.
  • You print architectural drawings, construction plans, or color renderings.
  • You'll buy paper in case quantities and keep backup rolls.
Works fine

You'll be happy if...

  • It's fine if you're upgrading from an older HP T7100 or T7200 print-only.
  • It's fine if you have proper installation conditions and HP service.
  • It's fine if your color tolerance is technical-document grade.
  • It's fine if your scan workflow is handled separately or by a service bureau.
Look elsewhere

Skip this if...

  • Skip this if you scan wide-format markups or redlines — get the 5200 MFP instead.
  • Skip this if your monthly D-size volume is under 500 pages — 4700 or DesignJet T-Series.
  • Skip this if you need photo-grade color — PageWide XL Pro or DesignJet Z-Series.
  • Skip this if you can't budget HP service contracts.
  • Skip this if you don't have proper installation conditions.
Full specifications

Every spec, no guessing

Stepping up to the 5200 line, the HP PageWide XL 5200 Printer is a print-only wide-format production machine — page-wide technology, color and B&W, sized for AEC shops and reprographics doing 800-2,000 D-size pages a month. No integrated scanner (that's the 5200 MFP). Multi-roll media handling, large touchscreen, integrated stacker. The 1 thing buyers regret: buying print-only when the workflow needed a scanner. The PageWide XL 5200 (4VW16A) is the printer-only variant. If you scan markups, redlines, or drawings — and most AEC and reprographics shops do — get the 5200 MFP (4VW17A) instead. Adding a separate large-format scanner later costs nearly as much as the difference between the two models. The other regret is the same as every PageWide XL: budget for the install room, ventilation, electrical, and HP-certified setup. The capital cost is the print engine; the operating cost includes proper conditions to keep print quality consistent.

Supplies & consumables

Toner, yields, and what to actually reorder

The #1 question we get on this printer is "which toner do I buy?" Short answer: you have two cartridge options and a drum. Standard yield TN830 covers roughly 1,200 pages. High yield TN830XL covers roughly 4,500 pages and is the better value for most offices. Pick XL unless you print very little.

The drum unit (DR810) is separate and usually lasts 15,000 to 30,000 pages before it needs replacing. At a typical small office volume, expect to change it once every 2 to 4 years.

If you lease this printer through us, toner and drum are included. You never pay for supplies separately. That's usually the better deal once you add up real costs over 3 years.

What customers actually say

The 5-star consensus: "it just works"

Small sample size, high signal. The 2 verified reviewers picked this model to replace older inkjets or aging HP machines. Common threads in the feedback:

  • "We switched to the PageWide XL 5200 for our architecture firm and the wide format printing has saved us so much time. The print speed is noticeably faster than our old Canon and the color accuracy is solid for client presentations."
  • "Been using this for large format CAD drawings and it's been dependable. Ink costs are reasonable and the automatic sheet feeding actually works, which I wasn't expecting given how many HP printers have given me headaches before."

The HP PageWide XL 5200 Printer is a wide-format, print-only machine designed for high-volume technical production (800-2,000 D-size pages/month) with multi-roll media handling and color capabilities. In contrast, the HP Color LaserJet Managed MFP E78625dn is a floor-standing A3 color MFP for office environments, offering printing, copying, and scanning at 25 ppm, with a 110,000-page monthly duty cycle and enterprise security features. The PageWide XL 5200 is ideal for AEC and reprographics shops needing large-format output, while the E78625dn suits departments of 15-50 users requiring tabloid color and scanning. For small offices, the E78625dn may be more practical due to its multifunction capabilities and office-friendly design.
The HP PageWide XL 5200 Printer is designed for high-volume production environments, such as AEC shops or reprographics, handling 800-2,000 D-size pages per month. Its wide-format capabilities, multi-roll media handling, and fast printing (up to 20 D/A1 pages per minute) make it suitable for businesses with large-format printing needs. However, its size, ventilation requirements, and lack of scanning may be overkill for typical small businesses. If your needs are more office-oriented, consider a smaller, multifunction printer like the HP Color LaserJet Managed MFP E78625dn or explore other options.
Yes, the HP PageWide XL 5200 Printer supports color printing. It uses pigment-based inks in cyan, magenta, yellow, and black (C, M, Y, K) to produce high-quality color and black-and-white output. This makes it ideal for technical documents, drawings, and other large-format color applications.
